Complaints Policy
Tara Professional Recruitment Ltd is committed to providing a high-level service to our customers and clients. If you do not receive satisfaction from us, we need you to tell us about it. This will help us to improve our standards. We ensure that making a complaint is as easy as possible and we treat complaints as a clear expression of dissatisfaction with our services, calling for immediate action to be taken.
Complaints Procedure
In the first instance, we ask for complaints to be resolved informally. Should this not be possible, complaints must be made formally in writing, by either an email or letter to Laura Steele using the following details:
Postal address: Tara Professional Recruitment Ltd, Dunbar House, Knights Court, Battlefield, Shrewsbury SY1 3GA
Telephone number: 01952 433833
Email address: laura@taraprofessionalrecruitment.co.uk
Your complaint should contain the following information:
Your full name and contact details;
Explain the issue as clearly and fully as possible, including any action taken so far; and
Names of the employees, clients or customers involved; and the resolution sought.
Next Steps
We will record your complaint upon receiving it.
We endeavour to send you an acknowledgment of your complaint within 5 working days and confirm what will happen next. This will be communicated by either letter or email, depending on how the complaint was received. We will also let you know the name of the person who will be dealing with your complaint.
We will may need to verify your identity and may request additional information/documentation from you.
We will then investigate your complaint. This will normally involve the following steps:
Reviewing your complaint;
Speaking with you;
Establishing the relevant facts;
Speaking to the person/s you have dealt with and any other relevant parties; and
We may request further information or documents from you as appropriate.
We will let you know of the outcome of this review within 10 working days of acknowledgement. However, if you have raised a request for access to information held about you on our system (“Subject Access Request”), we may take up to one month to respond to you, subject to the UK GDPR.
If we have to change any of the time scales above, we will let you know and explain why.
Complaint Outcome Appeals Process
If, following our final response to your complaint, you remain dissatisfied with the outcome, you may request that the complaint be reviewed through our appeals process.
Your appeal must be submitted in writing within 10 working days of receiving our complaint outcome. The appeal should clearly explain:
Why you believe the original decision should be reconsidered;
Any aspects of the investigation you believe were not fully addressed; and
Any additional information or evidence you wish us to consider.
Where possible, the appeal will be reviewed by a Director or senior member of management who has not been directly involved in the original investigation. If the original investigation was conducted by the Managing Director, the appeal will be independently reviewed by another senior manager or external HR/compliance adviser where appropriate.
The appeal review will consider:
The original complaint and investigation;
The evidence gathered during the investigation;
Any new information provided as part of the appeal; and
Whether the complaints procedure was followed fairly and consistently.
We aim to acknowledge your appeal within 5 working days and provide our final decision within 10 working days. If additional time is required due to the complexity of the appeal, we will keep you informed of the reasons and provide an updated timescale.
Following completion of the appeal, we will confirm whether:
The original decision is upheld;
The complaint is upheld in full or in part; or
Further action or remedial measures will be taken.
The outcome of the appeal is final and concludes Tara Professional Recruitment Ltd's internal complaints procedure.
Where appropriate, if you remain dissatisfied after our internal process has been completed, you may seek independent advice or refer your complaint to any relevant regulatory or professional body, where applicable. This may include the Employment Agency Standards Inspectorate (where relevant to the Conduct of Employment Agencies and Employment Businesses Regulations) or APSCo, should the complaint relate to matters covered by its Code of Conduct.
Once the appeals process has been completed, the original complaint outcome will be upheld, or you will be issued with a revised complaint outcome.
The decision on the appeal is final and there is no further right of appeal.
